Global Office: Sync

Completeness

Knowing what is missing, not just what you have.

A filing cabinet can tell you what is in it. It cannot tell you about the utility bill that never arrived, because a bill that did not come has no transaction to notice. And that is the one that costs you.

Account Coverage

The bank line says a charge happened. Only the paper says what it was.

Connect a bank or card account and Global Office: Sync holds every charge up against the receipts, bills and invoices it already has. What comes back is the list your accounting software cannot give you: the charges with nothing behind them.

Account Coverage for the last 90 days: 66% covered, 33 of 50 purchases, with 5 needing a document, 8 suggested matches, 30 documented, 3 explained and 4 with no receipt. The suggested matches list checks 1414, 1413 and 1412 each offered a subcontractor's receipt for the same amount, saying a check does not say who it paid, and a Palmetto Stone and Gravel charge offered its receipt, within fifty cents and paid with the card ending 2260, each with Yes, this is it and No buttons
One charge opened: Palmetto Stone Gravel, $126.86 on the business card. Possible match: the Palmetto Stone and Gravel receipt for $126.36 on August 1, within fifty cents of the receipt, merchant resembles Palmetto Stone and Gravel, paid with the card ending 2260, matched to this merchant before and posted two days after the receipt. Under it Yes, this is it, No and View the document, and a row of other ways to deal with it: attach a document already in Sync, scan the receipt, ask for a copy, no document needed, and can't get a receipt
Open a charge and the whole reason is there, with every other way to deal with it underneath.

If the books are somebody else's.

A bookkeeper does not hold their clients' bank credentials, and should not have to, so there are three ways in and the client picks.

Getting the paper you are missing

Global Office: Sync knows who owes you a form. It will write the message too.

The card that tells you: Tench Carpentry has been paid $2,220.00 this year with no W-9 on file, that it was three payments, that they crossed the $2,000 1099 threshold on July 22nd on the third one, and that the 1099-NEC deadline is January 31, with a Request W-9 button under it

When the app notices a subcontractor has no W-9, or that a certificate of insurance has run out, the card that tells you carries a button that asks them for it. Their name, their email and their phone are already filled in, out of your own paperwork.

And the message is already written, in words that fit the reason: a certificate that expired, one that is about to, one that never covered the work, one reissued with less cover than the last, a 1099 you are getting in order, a quote nobody came back on. It hands the finished thing to your own messages or your own email, so it goes from you rather than from a robot. Change a word of it or send it as it stands.

You do not have to type anything. That matters because chasing paper is the job nobody does until it is too late, and the reason is never that it was hard. It is that it was unpleasant to start.

Asking a client for documents · Full Edition

A client portal fails for one reason: clients will not log into it.

So there is nothing to log into. Make a link for one client and type what you need. They open it on their phone and add photos or PDFs, with no account, no password and nothing to install. Every link expires, and you can withdraw one at any time.

Global Office: Sync can send it for you as a finished email with a Send your documents button on it, in your name, and replies come straight back to you. Or copy the message into a text and send it yourself. The message is exactly what you typed, with the link under it.

Every document is scanned the moment it arrives, and none of it goes into the books until you have looked at it. Once everything sent has been dealt with, the request closes itself.

Documents from Brightbay Appliance Repair: one receipt waiting, read as Crossway, September 23, $61.48, with Review and Decline buttons, and the links still open underneath with a Withdraw button on each
